What are the best email productivity and efficiency hacks?

This post was previously edited by a moderator.
I, like many other CEOs, am juggling many things and am becoming a slave to my email. How have others used tools or tricks to manage emails and not just have email be your to-do list.

Getting Things Done by David Allen describes exactly how to do this. And I know many executives and startup CEOs (myself included) who swear by it.

It's true, more and more people are becoming enslaved by email. It has become the primary tool for communication and project management yet we have not devised sophisticated methodology around managing. My tip to you is to utilize tools such as Evernote, Quicksteps or Rules wizard in outlook. I too, implement the David Allen GTD model into my email automation systems.

If you use Gmail for business I highly recommend ActiveInbox that lets you add a todo to an email and then set it to return to your inbox at a later date. It's great if typically respond to an email and are then waiting on a response but want to archive the email so you no longer see it. I have been using it for a year and my inbox is empty at the end of every day.

Alongside the email productivity apps, I use principles of dealing with email at 1030 and/or 1630. Otherwise turn it off. Contacts can phone you if they urgently need you.

Try using unroll.me to roll all your content & subscription emails into one single digest email you receive once a day.
Then use tools such as boomerang in gmail to schedule responses at a future time which can avoid email box turning into instant chat rooms.
Final thing I do is to respond to emails once a day at a specific time, rather than continually dipping in and out of email throughout the day, and to have this time scheduled in diary in same way as a meeting would be.

- Gartner says that we spend 20hr's/wk managing email (a part-time job that delivers zero outcomes)

- Most of us have experience sending out the email "I'll be offline - need to get work done" (translated, turning off my productivity tool so that I can be productive)

There are times when the problem isn't with the user but in the application of the tool. Email is great for updating, informing, or notifying, but it's less than optimum for tasks, or ideation. At MetaChi, we believe that new ways of working across teams, in a networked world requires new tools and approaches.

Not sure about your specific use cases but give us a spin, we would love your feedback on how we can improve the experience - beta.metachi.com
